What's in CargoGen
CargoGen has six parts: shipments, bills of lading, customs, finance, AI tools and vessel tracking. They all use the same job, so the details you enter once show up on the BL, the customs record and the invoice.
Shipments
Open one job per shipment: sea, air, road or rail, export or import. Parties, route, containers, charges, milestones, documents and tasks are all kept on the job, from enquiry to delivery.
One job per shipment. Air jobs ask for flight number and MAWB, sea jobs for container type and count. Update the status of many jobs at once, export to Excel, or switch between board and table views.
Upload the shipper's commercial invoice as a PDF or scan. AI reads the parties, cargo lines, values and terms and fills them in for you to check. Nothing is saved until you confirm.
Record VGM (weight, method and date), gate-in and gate-out times, and stuffing for each container.
Each leg has its vessel, IMO, voyage, carrier, ports, ETD and ETA. Legs link to a shared sailing, so one schedule change updates every job on that vessel.
Enter what you charge the customer and what you pay vendors: freight, handling, documentation, customs, insurance, storage, demurrage, detention. CargoGen works out the margin on each job.
A separate screen for the warehouse and dock team, split by sea and air. They record gate-in, gate-out, VGM and stuffing for each container without seeing the rest of the job.
Price an enquiry as a quotation with options and versions. When the customer accepts, turn it into a job with the details already filled in.
Bills of Lading
Print house bills of lading and cargo manifests straight from the job, plus the packing list, arrival notice and delivery order. Check each BL in preview, add your stamp, and track it from draft to telex release or surrender.
House and master sea BLs. Status goes from not issued to draft to issued, then telex released or surrendered. House BLs link to their master BL, and the cargo manifest is printed from the master.
Packing list, booking confirmation, carting order, job order, delivery order and arrival notice, printed from the same job data.
One click copies shipper, consignee, notify party, route, container numbers and cargo lines from the job into the draft BL. Run it again when the job changes.
We set up your BL layout, or the carrier's. Edit fields in preview, see where text runs over a box, and your company stamp is added.
Every saved version of a BL is kept as a PDF, so you can see what went out and when.
Description, marks, packages, weight and measurement are kept for each BL, separate from container stuffing, so the BL reads the way the carrier expects.
Customs
Keep the shipping bill or bill of entry on the job: number, date, status, HS codes, value and duty. Upload a shipping bill and AI reads it in. AI also suggests HS codes and checks parties against sanctions lists. CargoGen does not file with customs.
One entry per filing. Status goes from preparing to filed, under examination, released and cleared. Shipping bill or bill of entry number and date, HS codes, value, valuation method, duty and the broker's reference on each entry.
Upload the shipping bill PDF and AI reads the number, date and other details into the entry for you to check.
Link one or more commercial invoices from the job to the entry for valuation and cargo description, without typing them again.
Give the route and the cargo, and AI lists the documents the shipment needs, such as certificate of origin, fumigation certificate or MSDS.
Your customs broker files in their own system. CargoGen keeps the references and status so your office and the broker look at the same details.
AI suggests the HS code from the cargo description and checks the parties on the job against sanctions lists, before you file.
Finance
Raise customer invoices for each job, see the margin before you bill, issue debit and credit notes, and let AI read vendor bills and sales invoices. Invoices go to Tally Prime and payments come back.
Your own numbering series and prefix. Draft, pending, sent, paid. Each invoice is raised against the job, in the customer's currency.
Upload a vendor's bill as a PDF and AI reads the vendor, totals and line items into a draft voucher for you to check and approve. AI reads sales invoices the same way.
Buy and sell charges on each job, by category. You see the margin on the job before the invoice goes out.
Customer ledgers and invoices, with GST split into CGST, SGST or IGST, are pushed to Tally Prime. Receipts entered in Tally come back and mark invoices as paid.
Bill the customer in their currency, with the tax rate set on each invoice.
Profit and loss per job, invoice ageing and profitability reports, exported to Excel for your accountant.
AI Assistant
AI reads commercial invoices, sales invoices, vendor bills, shipping bills and booking emails into CargoGen for you to check. Admins can ask questions about the company's jobs and get answers from your own data. Tasks and approvals can be created when a job changes status.
Commercial invoices, sales invoices, vendor bills and shipping bills, from PDF or scan. AI fills in a draft, matched to your existing records, and you confirm it.
Forward booking and document emails to your CargoGen address. AI links each email to its job, or fills in a new job from it for you to check, and drafts a reply.
Admins can ask about shipments, invoices and customers in plain language, and get answers, quick reports and charts from your own data.
On a new job, AI suggests the usual charges from the mode, cargo and your past jobs, so the charge sheet is not started from blank.
Set up steps that run when a job is created or changes status: create a task for someone, or wait for a person's approval before the next step. Or run them by hand from the job.
Booking confirmations, delay notices and arrival notices written from the job details, for you to edit and send.
Each morning the dashboard shows a short AI summary: jobs that need attention, jobs closing today and open issues.
Live Visibility
See vessel positions on a map from AIS data, a list of jobs that need attention, dashboard numbers for each branch, a daily AI briefing, and reports on volume, revenue and margin.
CargoGen follows the vessels on your active jobs using live AIS data. The list of vessels updates every five minutes as jobs are added or completed.
Routes drawn on a world map, coloured by status. Hover for vessel and leg details, click through to the job. On a job's routing tab, the part already sailed is solid and the rest is dashed.
Active jobs, jobs at risk, jobs in transit, revenue and margin, for one branch or the whole company.
Jobs that need attention, ranked by score. Each links to the job, where the reasons are listed.
Ready-made reports for profit and loss, invoice ageing, profitability and carrier performance, plus a report builder where you choose what to measure and how to chart it. Export to Excel.
Pick a branch from the top bar and every number, list and report shows only that branch. Head office users can see all branches together.
